positionThe Inter-American Development Bank (IDB) seeks a motivated
and detail-oriented Event Coordination Corporate Services Sr.
Analyst / Associate to join the Event Production Management (EPM)
department within the Office of the Secretary (SEC). This
department plays a critical role in the planning, execution, and
implementation of the IDB's Annual Meetings and the logistical
coordination of other high-profile events.This role will support
the event coordination, logistics, and operational processes that
ensure the seamless execution of IDB's events. The position
involves assisting in participant management, space planning,
vendor coordination, and registration logistics while maintaining
close collaboration with internal teams and external service
providers.What you'll doEvent Planning and Logistics Support:
-Assist in the planning, setup, and execution of events, including
the IDB's Annual Meetings and other high-profile gatherings.
-Support the management of participant registration, invitation
processes, and approvals, ensuring smooth coordination across
teams.
-Coordinate hotel and flight arrangements for event participants,
tracking logistics to ensure efficient execution.
-Provide administrative and operational support to ensure venues
are properly set up, equipped, and staffed for seamless event
execution.Space Management and Scheduling:
-Assist in managing the event space reservation system, ensuring
efficient use of IDB facilities for meetings and events.
-Work with internal stakeholders to gather requirements and assign
event spaces based on availability and operational feasibility.
-Support the development of detailed floor plans and seating
arrangements, ensuring proper layout and compliance with event
needs.
-Collaboration with Internal and External Teams
-Work closely with colleagues in SEC/EPM, IT, and other IDB
departments to ensure the coordination of logistics and event
planning tasks.
-Maintain clear communication with external vendors and service
providers, supporting the implementation of contracts for event
logistics, catering, and signage.
-Assist in tracking budget allocations related to participant
logistics, ensuring compliance with organizational guidelines.Event
Technology and Process Optimization:
-Support the implementation of digital tools and platforms used for
event planning, participant management, and reporting.
-Assist in the testing and troubleshooting of event technology,
including registration platforms and participant approval
systems.
-Identify areas for process improvement and propose solutions to
streamline operations.On-Site Event Support:
-Provide real-time support during events, ensuring smooth check-in,
seating arrangements, and technical assistance as needed.
-Assist in troubleshooting logistical issues and coordinating
responses to last-minute changes.
-Ensure event materials, signage, and other operational elements
are properly set up and maintained.What you'll needEducation:A
Bachelor's degree in business administration, event management,
hospitality, international relations, communications, or a related
field. A Master's degree is preferred.Experience: At least 3 years
of experience in event planning, logistics, or operations
management.Experience working withparticipant registration, travel
coordination, or meeting planning is preferred.Familiarity with
event management systems and tools is a plus.Languages: Proficiency
in Spanish and English, spoken and written, is required. Additional
knowledge of French and Portuguese is a
plus.RequirementsCitizenship: International) You are a citizen of

durationStaff: International: International staff contract, 36
