hiring for an Executive Secretary V to support our DoS client
located in Washington, DC. To join our team of outstanding
professionals, apply today! Responsibilities Works with CA’s Staff
Assistants and Executive Assistants to monitor internal tasks,
deadlines, and deliverables. Monitors and coordinates clearances
for incoming Department memos, policy papers, press guidance, media
notes, outreach toolkits, congressional reports (including yellow
and purple borders), ALDACS and cables, information and action
memos, FAM and FAH updates, safety and security updates, diplomatic
notes, consular notification updates, STEP notifications, guidance
and talking points related to crises, and reports in to determine
proper CA/OCS unit clearance level warranted. Ensures CA/OCS staff
complete the requisite clearances and provide timely responses on
formally tasked action items to meet Department deadlines. Ability
to conform to required style guides and pivot accordingly between
different entities such as 7th floor Line Style Guide, Department
Branding Guidelines, and the spokesperson’s office. Works closely
with the CA Front Office, all CA directorates, other Department
bureaus, and 7th floor staff to ensure timely and accurate flow of
information and seamless coordination on top Administration policy
and communications initiatives. Proofreads documents for accuracy
and completeness; and ensures uniformity according to set guidance
of all forms of correspondence written by CA/OCS units and staff
including cables, memorandums, letters, and briefing papers before
being submitted for formal clearances to CA directorates, CA Front
Office, and other Department bureaus. Coordinates timely and
effective paper and clearances that enable the Department’s media,
press guidance, talking points, and congressional engagement,
social media, and messaging campaigns to protect U.S. citizens and
secure America's borders. Processes incoming and outgoing materials
such as correspondence, reports, and other forms of written
communication and operational documents. Composes letters, and
reviews correspondence for accuracy and completeness, prepares
public presentation outlines, and develops standard or form letters
and replies to inquiries to the general public. Compiles input from
CA/OCS for weekly activity reports and other requisite reports.
Keeps the CA/OCS Director informed at all times of the latest
developments on matters that require immediate attention. Serves as
CA/OCS’s SharePoint site POC and works to improve accessibility,
archives, and functionality; provides regular training and
briefings on the use of SharePoint to manage paper flow to staff
within and outside the Bureau. Responsible for tracking and editing
events, adding and removing users, and creating and uploading
documents according to formatting and clearance guidance set by the
CA Front Office and the Department. Coordinates with the Deputy
Director on HR duties, including hiring, onboarding, personnel
actions, and bidding. Assist with the flow of inquiries from
congressional offices, other bureaus, and the White House. Ensure
they are routed to the correct internal entities for drafting,
review, and clearance. Performs other developmental, leadership and
training activities and assignments as applicable. Secondary/Backup
Duties: Maintain office supply inventory and assist with ordering
using ARIBA and GSA Advantage. Update office directories and
distribution lists as needed. Assist with travel authorizations and
voucher processing under supervision. Support the maintenance of
organizational calendars and email lists. Provide basic customer
service to internal and external stakeholders. Additional
Qualifications/Responsibilities Qualifications Proficiency in
Microsoft Office (Word, Excel, PowerPoint). Basic knowledge of
SharePoint. Strong organizational, interpersonal, coordination, and
communication skills. Attention to detail in proofreading and
formatting. Ability to follow instructions and work as part of a
team. Ability to learn new systems and processes. Active Secret
Clearance. Bachelor’s Degree required. 1 years’ work experience in
an administrative or support role, preferably in a government or
